All reservations must be guaranteed with a valid credit card with sufficient available credit at the time of booking. Room charges are settled upon checkout. A deposit for incidentals will be  held temporarily on your card, and will be held upon check-in. the deposit will be settled/redeemed  with your final bill at check out. 

Check-in: 3:00 PM · Check-out: 12:00 PM. access to your room before 3:00 PM free of costs is subject availability. to guarantee check in before 3:00 PM, reserve the preceding night at the full nightly room rate.

Late check-out before 6:00 PM is subject to a charge of 50% of the room rate. Check-out after 6:00 PM is charged at a one full night’s room rate. Additional nights requested beyond three days before or after the event are subject to availability and at hotel day rates.

Hotel room cancellation policy and charges

• Before 4th of March rooms can be cancelled with hotel free of costs or penalties by hotel .
• from 5th of March and onwards the Hotel will apply 100% of the room night fee for the complete duration of the stay booked. 

Event attendee cancellation policy and charges

Cancellation of attendance between 17th of February and 19th of March is not eligable for a refund.
Cancellation of attendance between 18th of Januay and 17th of february is  eligable for a 50% refund
Cancellation before 18th of January is eligable for a 100% refund. 

Sponsor -packages  are not eligable for Refunds.

eligable means it’s at the discretion of  Management of Freight lounge bv and can only be granted if there is an impossibility, backed up with proof or evidence.  for the impossibility we refer to our impossibility clause here on our info page. Cost that  Freight lounge bv has already made on behalf of the delegate before cancellation, might be deducted from the refund, these costs will be informed to Delegate accordingly. 

When a cancellation of Room or attendance effects the contractual agreement between Freight Lounge  and The Westin Hotel, by example , where it concerns the room block agreement or minimal guaranteed number of delegates, Freight Lounge bv reserves the right to recover the costs and or penalties that can be levied by the Westin Hotel onto Freight lounge bv  as per terms & conditions of the event contract,  onto the delegate.  The terms and conditions of the Event contract with Hotel and therefore the costs that will be applied per individual can and will be submitted to the Delegate upon request and at or before final cancellation . 

 No-shows: If a reservation has not been cancelled and the guest does not arrive on the scheduled check-in date, the full nightly room rate is charged for every night booked and  not used. 

Early departure: Leaving before the confirmed check-out date and not completing the reserved stay incurs an early-departure fee equal to a half-day room rate per day not used. 

Freight Lounge reserves the right to recover  any costs or penalties as a result of a cancellation, no-show, or early departure onto the concerned  Delegate. Failure to settle these charges may result in a suspension or termination of membership.

In Case of an impossibility or a reuse of facilities , Freight Lounge in consultation with the hotel will seek alternative solutions and can offer a settlement or refund, but it is at the sole discretion of Mangement and hotel and certainly not guaranteed, therefore above mentioned policies will apply at first. 

AExtra beds & breakfast

• Adult extra bed with breakfast: MYR180.00+ (MYR194.40 nett) per extra bed, per room, per night.
• Child extra bed with breakfast: MYR140.00+ (MYR151.20 nett) per extra bed, per night.
• Extra bed only: MYR110.00+ (MYR118.80 nett) per extra bed, per room, per night.

Bedding configuration is subject to availability upon arrival.

Porterage, room-drop services and hotel airport transfers are available on request and at an additional cost.

Food, beverages and liquor served at meetings or events must remain within the hotel’s event facilities. Takeaway food and doggy bags are not permitted under Marriott International’s Safe Food & Hygiene Policy. As these terms & condition and hygiene policy are rather strict, The hotel also dont allow food or beverages to be taken into the hotel without a written permission by the hotel. especially for larger quantities that are meant as give aways or premiums it’s important you honor this policy and ask written permission. we inform you that penalties can be applied for a violation of these terms. 
the hotel  reserves also the right to apply corkage fees on beverages taken into the hotel  with or without consent, the hotel will offer reasonable alternatives as per terms & conditions of event contract. 

by registering for the freight lounge Annual  Global Meeting  you give Freight Lounge B.V. the necessary rights and permissions for sharing personal data with the hotel. These permissions cover use and transfer by the hotel, its affiliates and service providers, both within and outside the country where data was collected, including the United States, in accordance with the hotel’s privacy statement and applicable law. The hotel may also use an individual’s personal data as directed, consented to or requested by that individual.
